Executive Assistant to the Co-Director
The Executive Assistant (EA) reports to the Apollo Alliance Co-Director-Administration (CDA). The EA provides high-level support to the CDA under minimal supervision, and is a liaison to the Board Chair’s staff. This individual is at the heart of the action within a national advocacy organization with federal, state and local initiatives and offices across the country.
Th EA manages the CDA’s activities to ensure organizational efficiency: including managing a complex calendar, travel arrangements and creating call lists, managing information flow and correspondence, supporting fundraising activities, and tracking activities and deadlines. The EA uses independent judgment to prioritize meetings and issues that require the CDA’s attention; is a key organizational liaison representing Apollo and the CDA as a “go-to” person for the Apollo board, donors and leaders of partner organizations; organizes board meetings and other organizational events; and is also responsible for other special projects and duties as assigned. In addition, the EA is the point person working with the Board Chair’s staff to schedule and organize board meetings, as well as speaking engagements, and Apollo-related travel.
Qualifications:
• A passion for Apollo’s work and issues;
• Strong administrative experience supporting senior executives in a dynamic and fast-paced environment; excellent independent judgment in prioritizing and acting on their behalf to manage their affairs and other organizational issues;
• Exceptional organizational and problem-solving skills, and ability to manage and prioritize an executive’s multiple competing priorities to successful and timely completion;
• Excellent initiative and follow-through, ability to maintain a fast work pace and manage multiple work assignments simultaneously, and demonstrated ability to carry large, complex and/or sensitive projects to completion, often in a very short time frame with multiple competing deliverables;
• Strong interpersonal skills (such as tact, diplomacy and confidentiality), and excellent written communication skills;
• A positive attitude, a sense of humor, and flexibility in dealing with changing priorities in a fast-paced and dynamic environment;
• Acute attention to detail and accuracy;
• A high degree of proficiency in advanced features of MS Office (Word, Excel, PowerPoint), calendaring software, email and the Web, and other various standard computer applications, as well as the ability to adapt quickly to specialized computer applications are required.
• Experience working with non-profit organizations and Apollo-related issues is highly desirable.
• Bachelor’s degree preferred, and must have 4-5 years of relevant work experience.
